The Executive Business Assistant to the Chief Operating Officer (COO) plays a critical and high-impact role in enabling strategic operational success across EDMI’s global business. Acting as the COO’s trusted partner and primary liaison, you will provide comprehensive, proactive, and confidential support, ensuring smooth coordination of priorities, efficient communication, and effective execution of corporate initiatives.
You will work closely with senior stakeholders across regions, manage complex projects, analyse financial and business data, and prepare executive-level materials to support decision-making. This role demands exceptional organisation, discretion, and the ability to anticipate needs in a fast-paced, dynamic environment.
Key Responsibilities
- Project & Administrative Support: Provide high-quality project and administrative support to the COO and team, including research, data analysis, task management, and maintaining digital documentation through SharePoint and wiki systems.
- Financial Analysis: Review, analyse, and generate financial documents such as business cases, cost comparisons, and scenario analyses.
- Presentations & Communications: Create and maintain executive-level presentations and reports using PowerPoint; draft key communications and briefing materials.
- Facilitation & Coordination: Coordinate and facilitate meetings, workshops, and business reviews across multiple global time zones. Prepare agendas, minutes, and follow-ups, and support the preparation of board papers and reports.
- Calendar & Travel Management: Manage the COO’s complex schedule, prioritising commitments, coordinating travel logistics, and managing communications with internal and external stakeholders.
- Project Coordination: Drive smaller strategic projects on behalf of the COO, ensuring alignment with organisational objectives and timely delivery of business outcomes.
What We’re Looking For
- Bachelor’s degree in Business Administration, Economics, Finance, Communications, or a related field.
- At least 5 years of experience in Finance, Marketing, Office Management, or a similar executive support function.
- Proven ability to handle confidential information with integrity and discretion.
- Exceptional organisation and project management skills with the ability to manage multiple priorities effectively.
- Strong written and verbal communication skills; professional and confident when engaging with senior stakeholders.
- Good understanding of financial acumen for P&L, balance sheets, and business metrics.
- Advanced proficiency in Microsoft Office (Excel, PowerPoint), Teams, Zoom, and SharePoint; Power BI experience is a plus.
- Proactive, resourceful, and adaptable, with a strong sense of initiative and problem-solving capability.
